In the past, our SOP documents were mainly accessed through NAS (Network Attached Storage). While this method enabled centralized document management, it gradually revealed several significant issues during operations, such as inefficient file search, difficulty managing version updates, and confusion in user access to documents.

To resolve these issues, we have implemented an online system for SOP document management. This not only greatly simplifies the process of accessing SOP documents but also enhances the efficiency and security of document management through various intelligent features, achieving a comprehensive upgrade from NAS-based to digitalized SOP management.

Quick SOP Document Access: Direct Access from Work Orders

Production floor personnel no longer need to open the NAS and browse through numerous folders to search for target files. Now, they simply need to scan the work order in the PIS system, and the system will automatically retrieve and open the corresponding SOP document for that work order. This design optimizes the overall workflow, reduces a significant amount of manual search time, and effectively prevents operational errors caused by selecting the wrong document.

Enhancing Document Security and Access Control

 

The file access mechanism of the NAS system was too open, which led to the risk of documents being accidentally deleted or tampered with, causing operational mistakes. The online system has made comprehensive improvements in this area. The authority to add, modify, and manage documents is now granted only to document management personnel, and production floor staff no longer need to directly interact with the NAS.

 

This design prevents version confusion or document loss caused by direct NAS operations, greatly improving the security and integrity of the documents. In addition, the system records every SOP document retrieval and modification operation, clearly marking the requester, reviewer, and actual operator, thus ensuring clear responsibility for document management.

 

Transparent Management of SOP Document History

Every SOP document retrieval, modification, and version update is thoroughly logged in the system. Whether reviewing past modifications or analyzing the root cause of production anomalies, managers can easily access comprehensive information.
